Going Paperless

Going Paperless

When the COVID-19 pandemic sent many office workers home, we naturally became more environmentally friendly with our “new” surroundings. Rather than using the paper mugs provided by our companies, we brewed coffee in our own ceramic mugs. Lunch was served on our melamine dishes. We even started printing less. Did you know, before the pandemic, the average office worker printed 10,000 pages a year? For every 100 employees, that is a cost of $12,000! So, how do we keep these ec0-friendly habits back at the office?

Create a Goal

Set limits on printing, mailings, packaging, and office supplies through a formal office policy that is obtainable. Once a policy is in place, assign a leader to implement changes throughout your department.

Set the Example

Lead by example with your team and department. Other employees will naturally follow. Work culture begins from the top and is inclusive.

Implement the Tools

Reduce your reliance on office printers by encouraging the use of easily shareable file types such as PDFs, digital signature software, internal communication, and electronic record filing, all of which make it easier to go paperless.

Paperless Internal Communication

For cooperation, project management, and business notifications, every office should employ some type of computerized internal communications. MD-Staff Connect expands the MD-Staff Text Message module allowing for two-way conversations between your facility/market and your providers.

Electronic Signature

It is commonly recognized that technology exists that allows for legally legitimate electronic signature paperwork. Several companies make collecting digital signatures on contracts and legal documents simple, eliminating the need for printing, signing, and physical storage. MD-App provides tools such as DocuSign for your providers’ online application process!

No Choice – Have to Print

Of course, it is impossible to completely eliminate the use of paper. There are, however, still techniques to reduce printing. Recycled printing paper is now more affordable and widely available. Double-sided printing can easily reduce the number of papers used in your department. For the environment, black and white or monochrome printing is always a better and safer option. Monochrome printers use fewer consumable parts, such as toner cartridges.

Many medical facilities are feeling the pressure to become more efficient while still cutting costs.  As your reliance on paper decreases, you will save money on printer maintenance, ink, toner, shipping, and physical storage.

The greatest opportunity for transformation is based on the outcome of a paperless system with robust data instead of static files.
